‘SECRETARIAT’ or ‘We’) of the HBP Surgery Week 2026 (hereafter referred
to as ‘MEETING’), and this privacy policy applies to this website
only.
At www.hbpsurgery.org (hereafter referred to as ‘WEBSITE’), the
SECRETARIAT respects its participants and understands that you are
concerned about privacy. This policy explains what information we
collect, how it is handled, with whom it may be shared, what choices you
have regarding the SECRETARIAT’s use of your information, and how you may
access or update your data.

- When you create an account and register for the MEETING, we collect your name, residential address, email address, affiliation, position, and other contact information.
- This information is stored in “Registration Status” to facilitate registration, abstract submission, and other participation processes.
- We may also collect additional information when you contact the SECRETARIAT by email.

- Session cookies exist only while your browser is open and are necessary for registration and login functions.
- Persistent cookies remain across visits to provide a personalized experience. You may choose to reject persistent cookies via browser settings; some functionality may be limited.
- No personal information is stored in cookies; all sensitive data is secured on our servers.
How Do We Use Your Information?
- Prepare name tags, meals (e.g., welcome dinner), and other MEETING materials.
- Process administrative or financial matters related to registration.
- Communicate with participants regarding the MEETING.
- Report MEETING results to supporting organizations using selected participant information.

- Send promotional emails regarding MEETING events, including offers or discounts.
Retention of Personal Information
- The SECRETARIAT will retain registration information from 2024–2025 to ensure continuity for past participants.
- Participants who have not engaged in any activity for more than three years (e.g., no login, no registration, no communication) may have their personal information deleted.
- Users will have the opportunity to update their information via “My Page” before any deletion occurs.
- This procedure will be clearly reflected on the WEBSITE under the Privacy Policy.
Sharing Your Information
The SECRETARIAT may share information with:
- HBP Surgery Week 2026 Organizing Committee and family associations.
- Third parties providing services for the MEETING (e.g., database management, email distribution).
- In cases required by law or to protect the SECRETARIAT’s interests.
Third-party marketing will only occur if the participant consents, and participants may opt out as described below.

- Participants can update information via “My Page.”
